SPHERE Privacy Policy

Effective May 2026

The protection of your personal data is essential to SPHERE. This policy describes how we collect, use and protect your data in the course of our activities, in accordance with the Swiss Federal Data Protection Act (nLPD) which came into force on September 1, 2023, and where applicable the General Data Protection Regulation (RGPD ) for persons established in the European Economic Area.

2. Data we collect

Depending on the nature of your interactions with SPHERE, we may collect the following categories of data:

Professional identification data Civility, first name, surname, job title, company, sector of activity.

Business contact details Email address, business postal address, business telephone number.

Usage and relationship data History of subscriptions to our publications, events and training courses; communication preferences; history of interactions with our content (opening of e-mails, clicks on links, participation in events).

Technical navigation data IP address, browser type, pages consulted, time spent on the site, source of origin. This data is collected via our HubSpot platform (see section 9).

3. Data collection sources

Your data is collected via the following channels:

  • Direct subscriptions: registration forms for our events, newsletter or publications
  • Professional exchanges: business cards, correspondence, appointments, contacts via LinkedIn
  • Publicly accessible sources: professional registers, company websites, trade publications, professional LinkedIn profiles
  • Event partners: speakers, sponsors and partners who share contacts as part of the joint organization of events (with your prior consent).

4. Purposes of processing

Your data is processed for the following purposes:

Organization of professional events Management of registrations for EAM Days, EAM Digital Days, PODIUM, Roadshows and other events organized by SPHERE; communication of practical information; registration on the day of the event; sharing of the program and post-event content.

Editorial communications Sending out our newsletter, event invitations, editorial alerts and professional publications (SPHERE Magazine, PUBLISPHERE content).

Response to your requests, sales follow-up,management of the SPHERE community.

Statistics and service improvement Anonymous analysis of the audience for our content and events, measurement of the effectiveness of our campaigns.

Sharing with our partners (subject to your consent) When you give your explicit consent, we may share your contact details with our event partners (sponsors of an event in which you have taken part, speakers, etc.).

5. Legal basis for processing

According to the nLPD, the processing of your data is based on :

  • The performance of a contract or pre-contractual measures: for the management of your registration for an event, your participation in a training course, or the provision of our services
  • SPHERE's legitimate interest: for professional communications, relationship management and the organization of our ecosystem of independent managers
  • Your explicit consent: for the sharing of your data with third-party partners, the sending of commercial communications, and the use of non-essential cookies

Where processing is based on your consent, you may withdraw it at any time (see section 10).

6. Data retention

Your data is kept only as long as is necessary for the purpose for which it was collected, in compliance with the principle of proportionality provided for in the nLPD. Certain retention periods may be imposed by Swiss legislation, in particular for accounting and tax purposes.

At the end of these periods, your data will be deleted or made anonymous. You may request early deletion of your data at any time (see section 11).

Your data may be shared with :

The SPHERE team Employees authorized to process your data within the strict scope of their duties.

Our event partners (with your consent) Sponsors, speakers and co-organizers of events in which you have participated.

Our technical service providers

  • HubSpot (United States / European Union): CRM platform, data hosting, email and campaign dispatch
  • Website host and technical maintenance providers
  • Payment providers (Stripe) for invoicing paid events

Competent authorities Where required by law, court order or regulatory authority.

8. Data transfers outside Switzerland

Some of our service providers (notably HubSpot and Stripe) may process your data from countries outside Switzerland, mainly in the European Union and the United States.

All transfers outside Switzerland are subject to :

  • adequate contractual guarantees (Standard Contractual Clauses recognized by the Swiss Federal Data Protection Commissioner)
  • The Swiss-US Data Privacy Framework mechanism for transfers to the USA
  • Certification of the level of protection in destination countries recognized by Switzerland

9. Cookies and measurement tools

Our sphere.swiss website uses cookies for its operation and to measure its audience.

Essential cookies Necessary for the proper functioning of the site (navigation, security, memorization of preferences). These cookies do not require your consent.

HubSpot cookies We use HubSpot to analyze browsing behavior on our site, measure the performance of our content and personalize our communications. HubSpot uses cookies to identify repeat visitors and measure their interaction with our content.

You may at any time :

  • Refuse non-essential cookies via the consent banner on your first visit
  • Modify your preferences via your browser settings
  • Unsubscribe from marketing emails via the unsubscribe link in each email.

10. Your rights

In accordance with the nLPD, you have the following rights:

  • Right of access: obtain confirmation that your data is being processed and receive a copy of it
  • Right of rectification: to have inaccurate or incomplete data corrected
  • Right of deletion: request the deletion of your data, unless you are legally obliged to retain it.
  • Right to object: oppose the processing of your data for reasons relating to your particular situation
  • Right to restrict processing: request suspension of processing in certain cases
  • Right to portability: receive your data in a structured format for transmission to another data controller
  • Right to withdraw your consent at any time where processing is based on your consent.

We promise to process your request within a maximum of 30 days. We may ask you for proof of identity to validate your request.

In the event of persistent disagreement, you may submit a complaint to the Swiss Federal Data Protection and Information Commissioner (FDPIC):

12. Data security

SPHERE implements appropriate technical and organizational measures to protect your data against loss, alteration, disclosure or unauthorized access:

  • Encryption of data in transit (HTTPS)
  • Access to data restricted to authorized personnel only
  • Rigorous selection of security-compliant service providers
  • Regular system updates
  • Ongoing training of our team in data protection issues

13. Sharing on social networks

Our site allows content to be shared on social networks (LinkedIn, etc.) via dedicated buttons. Use of these features implies acceptance of the terms of service and privacy policies of each social network, which remain independent of the present policy.

14. Changes to the present policy

This policy may be modified to reflect legal or organizational changes. The date of the last update appears at the top of the document. In the event of substantial modification, we will inform you by email or via a notification on our website.
